What is contact data management?

Contact data management is how an organisation acquires, verifies, stores and maintains the contact records it uses to sell. It covers where records come from, how they're checked, how duplicates are resolved, who owns the fields, and when a record is retired.

Most teams treat it as storage. Records arrive, land in the CRM, and are assumed true until something breaks. Managed properly, verified B2B contact data carries its provenance with it: the source, the verification method and the date it was last confirmed. That's the difference between a database you can trust and one you can only hope about.

Is buying B2B contact data legal in the UK?

Yes, when sourcing is documented. A work email is personal data under UK GDPR, so you need a lawful basis, source transparency and suppression. PECR's email rule excludes corporate subscribers, though some partnerships and sole traders count as individuals. TAMI sources directly, so provenance is traceable.

1What's a catch-all email and why does it matter?
A catch-all domain accepts mail to any address, so verification can't confirm whether a specific inbox exists. Providers label these risky. Sending to them at volume is where unexplained bounces usually come from.
2Why do two providers give different emails for the same person?
Because they built the record differently. One found the address published somewhere, another guessed it from a naming pattern, a third had it submitted by a contributor. Only one of those confirms the inbox exists.
3Can I verify contact data I already own?
Yes, and it's worth doing before any large send. Running existing records through verification separates confirmed addresses from guesses you inherited, which usually explains a bounce rate nobody could account for.
4What contact data management policy should we have?
At minimum: an approved source list, a required verification standard, matching rules on import, field ownership for manual overrides, and a retirement trigger. Written down, it survives staff changes. Undocumented, it doesn't.
5 Who should own contact data in a company?
RevOps in most organisations, because they sit between sales, marketing and the systems. Ownership matters less than it being assigned. Contact data fails fastest when everyone uses it and nobody maintains it.
6How many contacts should I have per target account?
Enough to cover the buying committee, which in UK B2B typically means three to six people across different functions. Single-contact coverage means one job change removes the account from your pipeline entirely.
7How do I check contact data quality before buying?
